1. Name of Committee
The Committee will be known as the “Akaroa Museum Advisory Committee”.
2. Status of Committee
The Committee will be a committee of the Banks Peninsula Community Board.
3. Purpose of Committee
The purpose of the Committee is to provide advice to the Community Board on the strategic issues facing the Museum and the matters arising from them.
4. Responsibilities
Responsibilities of the Committee are:
To provide advice on the Museum’s aims, objectives and policies and its role in the community.
To provide a local link with the Museum’s stakeholders including Friends of the Akaroa Museum, local Rūnanga and the wider community.
To assist in obtaining local support and financial resources necessary to achieve the Museum’s aims.
5. Composition of Committee
The two Akaroa subdivision members of the Banks Peninsula Community Board
Two representatives from the Friends of Akaroa Museum¹
One community representative ²
One representative from Ōnuku Rūnanga
¹ The Friends of Akaroa Museum representatives to be appointed by that group.
² The position of community representative will be publicly advertised, seeking expressions of interest.
In addition, a liaison member should be appointed from each of the Wairewa and Koukourārata Rūnanga, to attend meetings when matters of significance to their rohe (district) are being discussed.
The Community Board will appoint the Chairman of the Committee.
6. Term of Committee
The Committee will be discharged three months from the coming into office of the members of the community board, elected or appointed at, or following each triennial general election.
7. Administration
The Committee shall meet quarterly, or as required, and report to the Banks Peninsula Community Board following each Committee meeting.
A schedule of quarterly Committee meetings will be adopted annually.
As a committee of the Community Board the Committee shall be bound by the various Acts and Regulations governing the operation of a Local Authority and shall also be subject to the Council’s Standing Orders.
The Akaroa Museum Advisory Committee will be assisted by the Museum Director and Community Board support staff.
8. Remuneration of Committee Members
Committee members will not be eligible to claim the Council’s approved allowances for attendance at meetings.

1. Purpose and Origin of the Report Te Pūtake Pūrongo
1.1 The purpose of this report is to inform members of the Akaroa Museum Advisory Committee about activity at the Museum.

That the Akaroa Museum Advisory Committee:
1. Receive the information in the Akaroa Museum Director's Update to Akaroa Museum Advisory Committee Report.
3. Brief Summary
3.1 At year end, the Museum had met or exceeded all its levels of service targets for 2023-24. Almost 26,000 visitors were welcomed, a third of which were Christchurch City residents; the Museum was open to the public for a total of 2,109.5 hours; and 100% of visitors were satisfied, quite satisfied or very satisfied with their experience (Attachments A and B).
3.2 The Museum’s collection grew in line with its collection policy with the addition of 170 objects, all documented, insured and safely stored. Access to the collection was maintained, with 138 collection-related, 221 family history and 45 other enquiries received and answered.
3.3 Three new temporary exhibitions were presented; Catching Shadows, Ship Nails and Tail Feathers and He Ara Roimata ki te Anamata – Takapūneke, our journey, our survivance. The Takapūneke exhibition will continue through until November this year to ensure maximum audience exposure.
3.4 Upcoming events to note are: FOAM AGM, Friday 27 September, The Gaiety supper room; Love and Legacy, a curtain-raiser for RAWA, Friday 1 November, The Gaiety; Lynda Hallinan talk at The Gaiety, Friday 22 November, preceding the Inside Out House and Garden Tour to be held Saturday/Sunday 23/24 November.

1.1 The purpose of this report is to present to the Committee two key Museum policies for review.

1. Review the Akaroa Museum Acquisitions and Disposals Policy, confirm updates and endorse.
2. Review the Akaroa Museum Research and Access Policy, confirm updates and endorse.
3. Background/Context Te Horopaki
3.1 The Museum’s Acquisitions and Disposals Policy is an important guiding document for Akaroa Museum. It provides the framework for decision-making around what comes into the collection and also for deaccessioning. It is provided to external organisations when applying for funding and to other museums or galleries when arranging loans.
3.2 The Museum’s Research and Access Policy provides guidance to Museum staff around making the collections accessible to researchers and other users, and informs those users of the Museum’s conditions of access to collections.
3.3 Both policies will come up again for review in no more than five years, 2029.
4. Considerations Ngā Whai Whakaaro
4.1 Both policies are internal (as opposed to Council) documents but need to be regularly reviewed to ensure their relevance.
4.2 A workshop was held by the policy writer with the Akaroa Museum Advisory Committee on 15 May, 2024 to discuss and agree on required changes.
4.3 No changes were deemed necessary for the Akaroa Museum Research and Access Policy.
